Independent Enterprise Email Manager
Audience: front-end end users
Scenario
The company receives customer questions, quotes, supplier mail, invoices, and contracts every day, and also needs to send intros, follow-ups, and outreach. If people open, judge, reply, and follow up by hand, items are easy to miss, replies are late, and tone is inconsistent.
The system already provides a standard Independent Enterprise Email Manager employee (application name Mail Send and Receive Bot). You do not need to create an employee from scratch: click Use in the AI Employee Market to copy it into the current project. It sends and receives mail for a specified mailbox, as required. In the left AI Employee, say which mail to review, how to reply, and who to send to.
Hand daily send and receive for the specified mailbox to the AI, then ask it to draft, send, and follow up when needed.
Work type
Keep managing communication in the company mailbox, and help with email outreach when needed:
- Review and organize new mail, and judge type and priority
- Extract key information, draft replies, and send
- Follow up with customers and suppliers who have not replied
- Handle attachments, search history, and summarize open items
- Send and receive for a specified mailbox; use a different session for each mailbox purpose
- When reaching out, learn the customer’s industry first and write for that person, not from a stiff template
- Write like a friend chatting, so they keep the mail and come back when they have a real need
People still confirm important quotes, contracts, and whether to send outreach.
Configured tools
This work is done by chatting in the left AI Employee. It does not use external chat hosting. You cannot chat from My employees. The company already needs a specified mailbox that can send and receive.

The market copy of Independent Enterprise Email Manager already has basic send, receive, and organizing ability. The company can map more Skill, SOP, and materials to match its own reply rules and process.
Logic in brief
Use Independent Enterprise Email Manager from the market and create a session → Put the specified mailbox and reply rules in Session prompt → Review and organize new mail and extract the points → Draft a reply, then send after you confirm → Follow up unanswered items; when reaching out, design content from the customer’s industry and write like a friend chatting, then send → People confirm important mail.
Keep daily send and receive for the same specified mailbox in the same session. Create a new session when the mailbox or purpose changes.
Matching human system
This matches an in-house email operations role: people confirm important replies and whether to send; repeated review, organizing, drafting, sending, and follow-up go to the AI.
Steps
- Open AI Employee → Enter market, find Independent Enterprise Email Manager (Mail Send and Receive Bot), and click Use.
- After you enter that employee, click ⋯ → New session in the top right. Name the Session name for this specified mailbox. Put the mailbox and reply rules in Session prompt, then click Confirm.
- In the chat box, say whether to review new mail, organize a type, draft a reply, or send. To add materials, click the paperclip, open Add attachment, and choose Audio, Image, Camera, or File. Send.
- If the first reply is not right, keep saying how to change it in the same session, then ask it to send after you confirm.
- To reach or follow up a customer, say who it is in the same session. Ask it to learn that customer’s industry first, design the content for them, and write like a friend chatting, not a stiff template. Send after you confirm.
- Use different sessions for different specified mailboxes.
