Explanation of Relationships Between Documents, Notes, and Tasks
Target Audience: Front-end End Users
Distinguishing Between the Three Types of "Text-Based Content"
| Type | Access Point | Characteristics |
|---|---|---|
| CMS Documents | Other → Documentation List (Requires "Other" module enabled in plan) | Formal content: supports categories, tags, recommendations/publishing; uses a collaborative rich-text editor |
| Notes | Other → Note List; or Settings → My Notes | Lightweight, quick records; often displayed as "My Notes" within the page |
| Text Files in Document Space | More → Enterprise Documents | Stored as files (e.g., .md, .txt); editable online with overwrite-save capability |
All three belong to the current project, but they operate via different backend and interface workflows and do not automatically synchronize into the same article. If you need to maintain both "public-facing published documents" and "internal draft files," please use the Documentation List and Enterprise Document Space separately.
Relationship with Tasks and Schedules
- Task Lists (if enabled for the project) typically describe to-do items and execution status; they are not repositories for full document content.
- Schedule Notes (Schedule → Notes) are lightweight notes within the Enterprise Schedule module; they are distinct from the "Note List" found in the sidebar.
- When referencing files from the Enterprise Document Space in AI conversations, you are referencing file library objects; these do not automatically convert into entries within the CMS Documentation List or Note List.
Summary
Formal documents for the team → Documentation List; casual, quick notes → Note List; file and directory storage → Enterprise Document Space; hierarchical outlines → Document Management.
